SOP: Laptop provisioning for new joiners

Trigger: Offer letter signed and joining date confirmed. Owner: IT Operations (Priya). SLA: Laptop on the new joiner's desk by 9am on day-1.

Step 1 — Order (T-14 days). HR sends signed offer to IT@. IT opens an ordering ticket in our system with the role profile (Engineer = MacBook Pro 16, Designer = MacBook Pro 16 + Wacom, Everyone else = MacBook Air 13). Owner: IT.

Step 2 — Procurement (T-12 days). IT raises a PO to our master vendor. PO must include warranty (3 years AppleCare for engineering, 1 year for others) and asset tag pre-printed. Owner: IT + Procurement.

Step 3 — Receiving (T-3 days). Laptop arrives at the office. IT logs receipt in the asset register with serial number, PO number, and assignee name. Owner: IT.

Step 4 — Imaging (T-2 days). IT applies our standard image: corporate profiles, SSO config, anti-virus, MDM enrollment. Owner: IT.

Step 5 — Pre-staging (T-1 day). Laptop is placed on the new joiner's assigned desk with their welcome packet, a pre-printed Wi-Fi card, and a printed quick-start sheet. Owner: HR + IT.

Step 6 — Day-1 handover (Day 1, 9am). IT runs a 30-min onboarding session for new joiners covering laptop setup, SSO login, mandatory installs.

Escalation: if any step misses SLA, the owner pings the IT Director within 4 hours with the reason and a recovery plan.

Audit: weekly review of the asset register; quarterly physical audit of all laptops.
